Version Control

Version Control is a feature of the Document Management software which names, numbers the data files and stores them. These files facilitate easy management and are also easily retrievable. Each version of the document is managed when it enters the document management system.

When changes are made in a document, a new version is produced. These changes can be instantly and immediately tracked in this software. In this screenshot we can see that compare option is visible on the screen. through this icon we can comapare the changes of documents we have made in previous and new versions.

This software has become necessary because it is common for people to store multiple copies as and wherein changes are made to the document. Moreover, certain features of the software are available only in few versions and as the program which is being worked upon or the software on which the developers are working develops, it becomes difficult to keep track of changes. The concerned person or developer may require to maintain two copies of the software or document simultaneously. It becomes a tedious task to maintain similar copies of the program that can lead to errors. In such a scenario, the Document Management software proves to be highly beneficial. With the Version Control feature, the concerned personnel, be it the developers or the managers can immediately know the changes made to a particular file. They can also recreate the software configuration which was used for creation of a specific software release. This is done by placing a source code in version control software.

The version control puts each version of a file in a sequence automatically. In the Document Management System, it is very easy to find a file because the version numbers are displayed that can be immediately identified. There is absolutely no need for remembering the versioning of the documents manually as the Version Control makes file version management an easy task. Moreover, the version notes which are entered during the process of document check-in are easily searchable. The Admin department can also view if the authorized users have access to latest or the previous files versions. New versions can be easily created and the previous versions can be viewed with great ease. The Version Control comes with a version browser which is used for searching and managing file versions.

Version control is also known as Revision Control which refers to the management of the changes being made to documents in the Document Management system software. Changes are also managed in websites, computer programs and repository of information where finding a particular information is an uphill task. The Document Management software tracks changes made in a particular document which are referred by a number or a letter code and the changes made are easily identified by them. These changes are referred to version numbers or codes which are assigned to them with each changes made in a document. This is one of the best things about the version Control system where changes can be simultaneously tracked and corrections can be immediately made. Also, changes made in a particular document can be reverted back to the previous version.

The Version Control system allows to change the palette for the purpose of managing configuration which are complex in nature. Several individual items are clustered in a documents and with this revision control software the changes made in the documents are tracked. There is a single authoritative data store which is called the repository where all the data is stored. The ‘Check-outs’ and the ‘Check-ins’ (which is also known as ‘Committed’) are made with reference to the repository. It is noteworthy that a revision control system can be a centralized one with one repository or it may be the Distributed Revision Control where there are more than one repository. So, the changes made in the data can be checked in and checked out in any repository. When the data is checked into a different data store (repository) then it is known as merging.

The Version Control or the revision control of the document management system is extensively used by organizations which have to manage large copies of documents and software. The Version Control feature is embedded in different types of software such as the word processors and spreadsheets. Well, people may think that this may lead to confusion when multiple persons are working on the same document. Confusion is likely to arise related to merging. For this the version control, Software has a solution of ‘File locking’ which refers to avoiding working on the same document simultaneously. It is a part of the software configuration management.

This system is used for the management of the changes to a particular document over a period of time. Usually the conventional models of the Version control system of the Document management software use centralized repository where all the changes or the revisions done are made on a shared server. If changes are being made can overlap and to prevent overwriting of changes. Source management models of File Locking and Version Imaging. Thus, the problem of ‘Concurrent Access’ is resolved with great ease which enables access to the central repository only to one person. After ‘checking-out’ a file, other users are able to view that file. The change to that particular file is restricted unless and until the same person ‘checks-in’ the updated version of the document or cancels the checkout.

In the Distributed version control there are multiple repositories where there is no need to communicate with a central server. The data can be checked in and check-out into any repository. When data is checked into a different repository, merging takes place. The working copy refers to the local copy of files from an authoritative data source or repository at a specific time period. It is important to note that initially the work done of version control is made on the working copy. In the Distributed Version Control, each person’s working copy of codebase is a bona-fide repository. Synchronization is this version control happens by exchanging patches from one person to another. Only the working copy of the documents exist and there is no reference copy. ‘Commitments’ and revetment of changes are done quickly as no communications is required to be made with a central server.

The Version Control is an absolutely wonderful feature of the electronic document management system software. Online24x7 offers an affordable electronic document system which enables to manage your documents with great ease. A large number of organizations are using this software and have simplified their process of document management.
